ISO Certification

ISO Certification Process

So you’re thinking about getting your business ISO certified? Excellent choice! It’s a fantastic way to show your customers, and yourselves, that you’re serious about quality, the environment, or whatever ISO standard you’re aiming for.

Now, before you picture a stuffy, suit-and-tie process, let’s just chill for a sec. Getting ISO certified doesn’t have to be a nightmare of paperwork and jargon. In fact, we like to think of it as a journey, and we’re here to be your friendly guides.

Let’s walk through the ISO certification process, all the way to accreditation.

Step 1: The “What Even Is ISO?” Stage (and picking your flavour!)

First things first, what ISO standard are you even looking at? There are loads out there!

ISO 9001:

This is the big kahuna, the most popular one. It’s all about Quality Management. Basically, it helps you make sure you’re consistently delivering good stuff to your customers.

ISO 14001:

Into saving the planet? This one’s for Environmental Management. It helps you identify and control your environmental impact.

ISO 45001:

This one ensures you are compliant with Health & Safety legislation.

…and many, many more!

So, my first question to you: Which ISO standard are you most interested in for your business? Do you need more than one ? Don’t worry, if you’re not 100% sure, we can chat it through!

Step 2: Getting Ready – It’s Like Tidying Up, But For Your Business!

Once you know your standard, it’s time to get your house in order. This isn’t about creating mountains of new paperwork, but rather about documenting what you already do, and perhaps making a few tweaks to make things smoother, complaint and more consistent. It’s about creating an ISO compliant system of documents.

This might involve:

Understanding the Standard:

We’ll help you get to grips with what the chosen ISO standard actually requires.

Gap Analysis:

We’ll take a peek at your current operations and see where you align with the standard and where there might be a few gaps. Think of it as a friendly audit of your existing processes.

Documentation:

This is where you might write down some of your key procedures. For example, how do you handle customer complaints? What’s your process for on-boarding new staff?

Implementation:

Once you’ve got your procedures down, you actually start doing them consistently. This is the “walking the talk” part!

Training:

Getting your team on board is crucial. Everyone needs to understand their role in maintaining the ISO standards.

This stage is all about understanding your business and how it fits into the ISO framework. It’s a collaborative effort, and we’re here to guide you every step of the way, making it as painless as possible.

Step 3: Internal Audit – Checking it’s all working

We’ll run an internal audit to check if your new (or improved!) processes are actually doing their job. It’s a chance to spot any issues and make things better.

If something’s off, we’ll adjust your system. Once it’s all good, we’ll send over an RK Auditing Certificate to confirm you’re compliant. Congratulations !

Step 4: The optional external audit

Okay, deep breath! This is an optional extra. An independent certification body (usually UKAS accredited) comes in and they’ll conduct an audit in two stages:

Stage 1 (Documentation Review):

They’ll look at your documented processes and make sure they meet the requirements of the ISO standard. It’s a desktop review, checking your system.

Stage 2 (On-Site Assessment):

This is the hands-on bit. The auditors will visit your premises, observe your operations, and talk to your team to see if you’re actually doing what your documentation says you do. They’ll be looking for evidence that your systems are effective and consistently applied.

Don’t worry, these auditors aren’t there to catch you out. They’re there to verify that your system works and help you make sure it’s robust. If they find any “non-conformities” (things that don’t quite meet the standard), they’ll give you a chance to fix them. It’s all part of the learning process!

Now, you might be wondering, “What’s this UKAS thing you mentioned?”

UKAS (United Kingdom Accreditation Service) is the UK’s national accreditation body. Think of them as the “auditors of the auditors.”

Here’s why it matters:

  • When a certification body is UKAS accredited, it means that UKAS has rigorously assessed that certification body to ensure they are competent, impartial, and consistent in their auditing practices.
  • Basically, a UKAS-accredited ISO certificate carries a lot more weight and credibility. It’s a mark of quality for your certification itself! It tells your customers that your ISO certification isn’t just a piece of paper, but that it’s been issued by a genuinely reputable and independently verified organisation.

Maintaining Your Certification: It’s Not a One-Off Thing!

Just like a good garden, your ISO system needs a bit of ongoing care. Your certification will typically last for three years, but during that time, the certification body will conduct annual surveillance audits.

These are smaller check-ups to make sure you’re still adhering to the standard and that your system is continuously improving.

At the end of the three years, you’ll go through a “re-certification” audit, which is similar to the initial audit, to get your certificate renewed. It’s all about continuous improvement and making sure your business stays top-notch!

So, that’s the grand tour of the ISO certification process. Does that all make sense? We know it might seem like a lot, but we break it down into manageable chunks.
